Order Intake
Support
How the app works, how to set it up, and how to reach a human.
Setting it up
- Install the app and approve the subscription ($49 USD per month, 7-day free trial).
- Open the app. At the top is your intake address — something like
your-shop@cardiworkshop.com. - Forward a purchase order to it, or give the address to a buyer who orders regularly.
- The document appears in your inbox in the app, already matched against your catalogue. Review it and press Create draft order.
What we can read
- CSV / TSV attachments, including semicolon-separated European exports and files with a byte-order mark.
- Excel (.xlsx) attachments — the first worksheet.
- The email body, if the order lines are pasted in as a table with no attachment.
- Order tables that sit underneath a header block (PO number, ship-to address, and so on) — we look for the header row rather than assuming it is the first line.
We identify the format by the file's contents, not its name, so a spreadsheet saved with the wrong extension still works.
What we cannot read yet
- PDF order forms. Forward the spreadsheet or CSV version instead. A PDF is recorded in your inbox as unreadable rather than silently ignored.
- Scanned or photographed orders. There is no OCR.
- Attachments larger than 5 MB, and worksheets beyond the first.
How lines are matched
Each line is matched in this order: exact SKU, then barcode / GTIN, then product name. SKUs are compared ignoring case, spaces and separators, so abc_123 finds ABC-123.
We never guess. If two variants could be the line, or the only evidence is a similar product name, the line is held and marked for your decision — it is not put on the draft order. A name on its own is never enough to confirm a match, no matter how close it looks. You can pick from the suggestions, or search your catalogue directly from that row.
A line whose quantity is not a whole number above zero is kept and flagged, never rounded. Rows that carry neither an identifier nor a quantity — totals, notes, signature blocks — are left out.
What the app will never do
- Complete an order, take payment, or send an invoice.
- Change inventory levels.
- Create a customer record. If no customer in your shop has the sender's exact address, the draft carries the email address and Shopify links or creates the customer when you complete it.
- Store the original attachment. See the privacy policy.
The output is always a draft order in your Shopify admin. You review it and complete it there.
Frequently asked
A buyer emailed the address but nothing appeared.
Mail is accepted for any shop with the app installed — a plan is not needed to receive an order, only to turn it into a draft order. If the app is installed and the document still has not arrived, forward it to cardi.workshop@gmail.com and we will look at it.
The document arrived but says it could not be read.
We keep failures in your inbox on purpose, with the reason, so you always know the mail arrived. The usual causes are a PDF, a scanned image, or a sheet with no quantity column.
It matched the wrong product.
Change it on that row and the draft uses your choice. If we picked something you did not expect, please tell us which SKU — that is exactly the feedback that improves the matching.
Can I create a second draft from the same document?
No. Once a document has produced a draft order we block a second one, because a refresh or a second browser tab would otherwise duplicate the whole order.
How do I cancel?
Press Cancel subscription in the app. Billing stops immediately; your documents and settings stay. Uninstalling the app also cancels the subscription and deletes your data.
